Gentle Vet Animal Hospital in Green Bay, Wisconsin, recently adopted Provet Cloud as their new practice management software. In a short time, Dr. Daniel Gray and his team have discovered Provet Cloud's time-saving benefits and the ways in which better efficiency translates to better patient care.
"Hi, I’m Dr. Dan Gray."
I work at Gentle Vet Animal Hospital in Green Bay, Wisconsin. Our practice has been here since 1971. We’re a five-doctor practice, and we signed on with Provet Cloud about six months ago.
What were some of your biggest challenges before discovering Provet Cloud?
Right before we adopted Provet Cloud, we were facing a host of challenges – staffing shortages, overwhelming client demand, and the general chaos that came with the post-Covid surge in veterinary care. If you remember what Covid was like, you could be booked out a year in advance. The demand was soul-crushing.
Rather than just tread water, we decided to build a new facility and double our staff – all within a four-year period. So we were managing rapid growth, new team members, and all the communication hurdles that come with going from 17 employees to 33. On top of that, we faced typical business struggles and then our server started to fail.
Ideally, we would’ve waited another year before switching systems – after moving into the new building and training our new doctors. But we had to throw a PIMS transition into the mix anyway. Rapid change combined with new personalities led to serious inefficiencies. We were dealing with outdated, broken processes across the board.
"I know just enough about EU data protection laws to be confident that if Provet Cloud complies with those, we're in good hands."
In your search for new software, what set Provet Cloud apart from the rest?
We did our due diligence – this wasn’t a random decision. We spent what felt like forever researching options. What drew us to Provet Cloud were a few key things. First, it's owned by a large European company, and that stability mattered to us.
From what I gathered, many of your PIMS competitors seemed to be focused on scaling fast with the goal of getting acquired. That’s not what we wanted.
Also, security was a big concern for us. When we purchased the original clinic in 2019, we were hit twice by ransomware in the first month due to poorly protected systems. I know just enough about EU data protection laws to be confident that if Provet complies with those, we’re in good hands. That was a major selling point.
What are your favorite things about using Provet Cloud?
My favorite part is simple: the flexibility of the cloud. Moving from a server-based system to Provet Cloud means I can check my schedule on my phone before I even get to work. I can pull it up on my tablet right next to my AI tools. I can run it on any number of computers, switching between them as needed.
That kind of accessibility immediately improved our efficiency. Honestly, that alone is a solid reason to move to the cloud.
"When you multiply time savings like that across 33 people, the impact is massive."
What's one big way Provet Cloud saves time for your team?
Take X-rays, for example. Before, we had to verbally tell someone to order the X-ray, mark it on a travel sheet, remember to capture it, walk across the room, load the patient into the X-ray system, and then take the image.
Now, we order the X-ray and it immediately syncs with the X-ray system – automatically loaded and charged. That’s three procedural steps eliminated. When you multiply time savings like that across 33 people, the impact is massive.
How are you experiencing the power of Provet Cloud integrations?
When I contact a client via text or email using AllyDVM, it shows up in the patient’s record within 15 seconds. Sure, copy-pasting isn’t hard, but this eliminates a mental task. I don’t have to double-check that it’s documented – it’s just done.
Again, you multiply that time saved and mental energy spared across 33 staff members, and it adds up. Integrations like AllyDVM, our lab machines, lab results, and X-ray equipment all work seamlessly together. Those are the integrations I rely on the most, and they really make a difference.
What is your ultimate mission as a veterinary care provider?
Our mission is to improve the lives of our staff as much as physically possible, so they can in turn improve the lives of our patients. It’s not about money or patient volume – it’s about quality care. If we take care of our employees, they’ll take better care of our clients and patients.
That’s what gets me out of bed in the morning. And that’s where software like Provet Cloud fits in – it makes their jobs easier, more accurate, and more efficient. That’s real impact.
