How switching to Provet Cloud led to a sizable increase in clinic billing

A recent analysis of billing data showed a 14% increase in clinic billing after switching from former veterinary software to Provet Cloud. The data team at Provet Cloud analyzed anonymized billing data from 70 clinics, comparing sequential months before and after the clinics switched from their old software to Provet Cloud. The analysis shows that using Provet Cloud doesn’t just improve productivity, but also total billing volume, increasing revenues for clinics. 

The comparison looked at months-long periods of clinic billing (e.g. Sept. 2022-Dec. 2022 and Sept. 2023-Dec. 2023) – along with other times of year to account for seasonality – for 70 European-based practice locations that had recently switched over to Provet Cloud.

Of the 70 clinics, six different software systems were represented, providing a wide variety of clinic types and locations.

While our billing increase analysis cannot account for staff levels, patient load, services offered, or other operational changes, we can nevertheless point to some of the most likely reasons why this group of clinics is capturing more revenue by using Provet Cloud.

4 key ways to increase billing with veterinary practice management software

Once an invoice is generated with all billable services included (see above), Provet Cloud gives you the option to print or email the bill to the client – and the client may be given the option to pay in person or over the phone. For those who don’t pay their invoice right away, you can set up automatic invoice and statement reminders, even offering a way to pay via text or through your website.

Automated reminders = fewer no-shows

A study by the American Animal Hospital Association (AAHA) says that 11% of scheduled veterinary appointments result in a no-show. So if your practice averages 4,000 appointments per year, at $100 per visit, you’re potentially missing out on $44,000 from billable services.

Provet Cloud enables automated reminders via email or text message to notify clients of upcoming appointments. You can also set up reminders for when it’s time to book their pet’s next appointment, such as a vaccination or an annual exam.

Multi-location pricing tool

Especially for practices with multiple locations, standardized pricing is essential to minimizing instances of under-charging. Ideally, all locations are operating on the same practice management software, which provides a centrally controlled pricing structure and item catalog. Item lists and prices may be updated across all locations with one click.

But price standardization should not mean sacrificing one location’s unique identity. Provet Cloud enables you to give the practice autonomy to determine their local prices within a range. In this scenario, the practice can increase their prices by a predefined maximum amount if, for instance, they are in an area with the demographics to support such a change.
